Referral Management Reports

The reports tool in Referral Management allows you to review different types of productivity and organizational data to help you better understand the performance of your business.

User Activity Report

This report lists all of your activities for the chosen date range. Including high-level activity details such as, activity status (open or complete), as well as, any notes you took on what you learned from the visit. This report helps review the completed or open (in progress) activities. Users can also use the Excel download to provide a report to others in the organization.

To create a report:

  1. Choose your name from the Select User field.
  2. Select a date range (click on the field to open a date selection calendar)
  3. Click View Report, to generate the Activity List below the search field.

Export Activity Report

Once your report is created, use the (...) menu below View Report to select the export to Excel sheet options.

User Referral Report

This report provides a high-level overview of your referrals provided by your assigned accounts. 

  1. To create a User Referral Report, select your user name, and click View Report
  2. The report generates a list of referrals given from the different accounts.
  3. Next to each account, you’ll see a side-by-side comparison of the referrals they provided versus your activities over 30 days, 90 days, and All time. This chart lets you determine the return on investment for each account based on how many referrals they’ve provided compared to the number of activities on the account.

Conversion Rate

You’ll see how many referrals turned into an Initial Evaluation at the 30 and 90 days mark, as well as the life of the account. Each time frame also provides the conversion percentage of referrals to Initial Evaluations. These conversion numbers help you compare your accounts by displaying the quality and quantity of the referrals and how much time/effort you invest in getting those referrals.

Note: Hover over “i” (more information) icon to see what you wrote in your last activity.

User Assigned Accounts Report

This report allows you to view the accounts you or others are assigned. Along with the list of accounts, you’ll also see the account status, the account details (i.e., address, phone number, etc.), associated contacts, activity count, and total referrals. To view the report, select the name of the user from the drop-down then click View Report. The report is provided as an Excel file.

Referral Source Tier Report

Each contact receives a Tier grade based on the volume of referrals to the different clinics in your business. Use this information to determine the importance of a contact to your clinic’s business.

The Tiers are described below:

  • Company:
    • Tier A: Top 1% of referring physicians based on referral volume
    • Tier B: Top 15% of referring physicians (excluding Tier A)
    • Tier C: All remaining referring physicians
  • Clinic:
    • Tier A: Top 5% of referring physicians who refer to that clinic based on referral volume
    • Tier B: Top 15% of referring physicians who refer to that clinic (excluding Tier A)
    • Tier C: All remaining referring physicians who refer to that clinic

To run a Referral Source Tier Report.

  1. Select your organization (or company market) from the Select Company drop-down list. You can also choose multiple or all markets within your organization
  2. Then select the clinic or clinics you want to include in the report.
    Use Select All to see the tiers of all contacts across your clinics.
  3. You can select the specific tiers that appear in the report or include all the tiers by clicking each tier individually.
  4. Once you click View Report, an Excel spreadsheet is generated containing the requested data.

First Time Referral Report

To see a list of all your contacts who’ve provided their first referrals, use the First Time Referral Report. The feature automatically produces the first time referrals for the current month and gives you the option to see the first time referrals of previous months. In the generated list you’ll see the contact name, the date of their first referral, the date of the most recent activity, and other information to help you plan your follow-up activities.

Note: If you see a blank screen there were no first-time referrals for the selected month.

Cost Report (Beta)

The Cost Report helps you understand the return on investment based on how much each user spends on an Account compared to the total referrals they provide.

When the report is generated, you’ll see several different metrics related to spending. The totals in the metrics include all the Contacts, Activities, and spending for the account during the designated time frame. This report helps you keep track of the spending for each account and determine if your investments are worth the referrals you receive in return.

Referral Summary Report (Beta)

The Referral Summary Report provides the average referrals for the previous year and the total referrals for each month of the current year for each contact. 

Click Download to generate the Excel spreadsheet. Tip: This report takes awhile to run, we recommend clicking download and then come back to the report after a few hours have passed.
