Accounts Page: Search, Create, Assign, and Edit Accounts

The Accounts page displays where your contacts work and the companies where your referrals are coming. For example, if Dr. Smith works for Happy Rainbow Medical Center, then Dr. Smith is the contact, and the medical center is the Account.

The Accounts page shows your Account totals by categories(a) and a list of Accounts collected by your company (b).

Account Totals

At the top of the Contacts page, you’ll see a total count for the different contact categories:

  1. Active Accounts: Accounts who have referred in the past 90 days.
  2. Lead Accounts: Accounts who have never referred to you (Working on getting their business)
  3. Not Engaged Accounts: Referred to you in the past, but not in the past 90 days.
  4. Accounts with No Contact: An Account that has no associated contacts.
  5. Accounts Assigned to Me: The accounts assigned to the user.

Note: Click each category to filter the Accounts list by the category (i.e., Lead Accounts).

Use the search fields under the totals to find a specific account. Enter identifying information into at least one of the search fields to narrow down the search results.

You can also use  Search to organize a specific list of Accounts. 

Create an Account

You can create an account one of two ways; the first is manually entering the account information by using the Create Account button. The second is by using the Discovery function to locate the account using Google and pull the company information from Google (recommended method).

Manually Creating an Account

To create an Account, use  Create Account at the top-right of the Accounts screen.

You’ll then see the Enter Account Details page, where you can fill out the account’s information.

Once you’ve completed entering the Account details, click Save Account at the bottom of the screen.

Discover: Create Accounts

You can use this search function to find accounts. This works just like a Google Search. You can search by type (e.g Orthopedic Surgeon or Crossfit) or by name (e.g. Mayo Clinic), adding the address, city, and state helps narrow the results.

Example searches: "Orthopedic Surgeon Gilbert AZ" | "Mayo Clinic Phoenix" | "Abundant Health Family Practice Tucson, AZ" | "Abundant Health 6130 N La Cholla"

  1. To use the Discover tool, open the Discover page using the top navigation tabs.
  2. Type your search query and click Search for Accounts to review the results.
  3. From the search results, click View Details on the clinic you want to add.
  4. You’ll see the Place Details page where you can add any additional details you want before clicking Save Account, to add it to your Accounts.

Assign Accounts

This feature allows you to assign and remove multiple accounts for the different users in WebPT Referral Management. 

  1. Use the (...) menu and select Assign Accounts.
  2. To add an unassigned account, use the drop-down menu to select the user for whom you want to assign an account. Click Select User
  3. Search for the account you want to assign by querying with one or more of the search fields.
  4. Select the desired account(s) by clicking the checkbox then click Assign Selected.

Bulk Re-Assign Accounts

If all of the accounts assigned to the selected user need to be assigned to another user, use the User Account Re-Assignment feature.

Simply select the appropriate user from the dropdown menu, and click Re-Assign All.

Remove Account

  1. From the Assign Accounts page, in Step 1 select the user.
  2. Fill in one or more of the search fields in the Search Assigned Accounts box (below), then click Search Assigned.
  3. When you locate the account you want to remove, click the appropriate checkbox, then click Remove Select

Edit Accounts

Use this feature to edit the information of an account.

  1. To edit an account, locate the account you want to edit, then click Edit Account at the top-right of the screen.
  2. 2. You’ll enter the Account Details page, where you can edit any field of information. 3. Once you’ve made the necessary changes, click Save Account at the bottom of the screen.

Note: You can also delete the Account altogether by clicking Delete. You’ll see a notification to confirm you want to delete the account and then a confirmation message at the bottom of the screen.
