Accounts Overview

Accounts are the organization where your referral source works. To ensure better reporting, each of your contacts should be associated with an account. Accounts can be easily created through the Discover tab, allowing you to select the location from Google.

Accounts are different than contacts. A contact is the actual person (Dr. Smith, for example). The account is where the contact works. So if Dr. Smith works at Happy Rainbow Medical Center, then Dr. Smith is the contact and Happy Rainbow Medical Center is the account. There will be many accounts that have multiple contacts. However, if Dr. Smith has his own practice, his account should be his business name, which might be along the lines of Dr. Smith’s Family Practice or something like that. Check out the physician’s website if you aren’t sure.

Why do we create accounts? One reason to track accounts in the system is to identify opportunities. If you have an account that has a top doc, there may be other potential top docs at that account worth looking into. Another reason that it’s important to create accounts is for reporting. If you want to measure metrics for organizations, accounts will need to be created.

To view an account’s page, you can go to Accounts and search for the account you want to see. Accounts flow over from the WebPT EMR. Whatever was saved in the “Group” field when adding a physician will be created as an account in Referral Management. To discover new accounts in an area, you can use the Discover tab. Simply go to the Discover tab and search a term such as “Crossfit Gym”, the city, and the state. Then, nearby crossfit gyms will appear, and the system will pull the gym’s information from its Google business page. To save the gym as a new account, click “Details”, review the information, and click “Save”. You will then be taken to the new page for that account.
